HOSPITALITY

This dynamic committee will be the heartbeat of our guest experience, leading the charge in welcoming, hosting, and ensuring every moment feels memorable throughout the festival. Their signature event? A spectacular preview party they’ll plan, organize, and bring to life on Thursday, September 18th at 5:30 PM. Expect charm, hospitality, and celebration from start to finish.

LOGISTICS

This hands-on team will orchestrate the behind-the-scenes magic that brings the festival to life. From early preparations to final breakdown, they’ll manage all aspects of set-up, takedown, and logistical coordination with precision and care. Their responsibilities include:

  • Arranging and removing tables in the church for displays

  • Setting up and breaking down tables, chairs, and equipment for Thursday’s preview party

  • Preparing spaces for demonstrations on Friday and Saturday morning, then restoring them after

  • Installing and removing signage around the church, throughout town, and in the gardens

  • Coordinating transportation needs, including overflow parking logistics if required

Their attention to detail and teamwork will keep everything flowing smoothly ensuring guests, vendors, and participants enjoy a seamless experience from start to finish.

DOCENTS

Join a warm and welcoming team that’s at the heart of the guest experience! As a docent, you’ll help create a friendly, informative atmosphere throughout the festival—from the church to the gardens. Your presence will make every visitor feel seen, supported, and celebrated.

Docents will:

·         Greet and warmly welcome guests as they arrive

·         Distribute festival brochures with a smile

·         Offer thoughtful assistance to anyone needing extra help (elevator access, etc.)

·         Provide support and encouragement to fellow docents throughout the event

·         Ensure eye-catching festival banners are beautifully displayed

·   Coordinate the placement and takedown of the stunning vestment display

GARDENS

PUBLICITY

·         This committee will:

·         Make sure the gardens look stunning and feel inviting for every guest

·         Design and manage the festival's landing page and sub-pages, showcasing both current festivities and
                treasured memories from past events

·         Create interactive features that inspire engagement, monitor responses, and keep the digital buzz alive

·         Keep all event-related pages fresh and up to date so visitors always have the latest scoop at their fingertips

SOCIAL MEDIA

NAME TAGS

Help shape how the festival lives online! This forward-thinking team will design, manage, and elevate our dedicated event pages, turning them into a vibrant hub for info, interaction, and inspiration—both for this year’s festivities and future celebrations.

What they’ll do:

·         Build and update a sleek landing page and subpages that showcase the festival’s story, highlights, and happenings

·         Spark engagement with features that invite guests to explore, respond, and connect

·         Keep content fresh, exciting, and relevant throughout the lead-up, event, and post-festival recap

This creative crew will shape the story of the festival in print! Working collaboratively, they’ll gather details on the event, its displays, featured artists, and dedicated volunteers to craft a beautifully designed booklet—ready to welcome guests during the festival and leave a lasting impression afterward.

The brochure will serve as a warm introduction to:

·         The church and its mission

·         The heart and theme of the festival

·         Descriptions of each display and spotlight features on the artists

·         Recognition of sponsors who help make it all possible

BROCHURE

This committee will create custom name badges, using the selected artwork of the festival, for all volunteers, artists, and stakeholders for the event.  As we will have visitors in our gardens and church, the badges will serve an easy way to identify and connect with us.  They will:

-          Collect and update all names of folks involved in the festival

-          Create, print, cut, and put together the name tags

Distribute name badges/or lanyard/vest/hats

POSTER/SIGNAGE

Ready to bring the festival’s visual identity to life? This detail-driven, creatively-minded team will lead the charge in designing eye-catching posters and essential signage that guide, inform, and excite our guests.

Members of this committee will:

·         Collaborate to gather artwork, design the main festival poster, and ensure it's beautifully printed and framed

·         Identify and produce important directional and informational signs—including potential overflow parking signage

·         Organize the posting of promotional signage in local businesses and throughout the community

·         Coordinate the printing and framing of materials to keep everything polished and professional

FLOWERS

Love flowers and logistics? This vibrant committee blends beauty with precision—taking charge of everything floral for the festival! Members will work closely with artists, demonstrators, and volunteers to bring stunning arrangements to life while managing the practical side of ordering, delivery, and prep.

Here’s what you’ll get to do:

·         Curate a seasonal flower list, choosing blooms that will be fresh and fabulous at festival time

·         Collaborate with artists to fulfill their floral visions

·         Monitor quantities and costs to keep everything blooming within budget

·         Coordinate with demonstrators to ensure they have what they need

·         Handle the flower order for the preview party

·         Oversee the joyful prep of flowers once they arrive at the church

MUSIC

Calling all music enthusiasts! This team will set the tone—literally—for the entire festival experience. From subtle background ambiance to upbeat party playlists, you'll help create the perfect sonic atmosphere that enhances every moment.

·         Learn the ins and outs of the church and parish hall sound systems to keep everything smooth and
        seamless

·         Curate a playlist of music that’s tasteful, relaxing, and enhances the vibe without overpowering
        conversations

·         Ensure that all musical moments are carefully timed, with silence during important demonstrations

·         Bring the energy to the preview party with a fun, welcoming musical backdrop that guests will love.

DISPLAY COORDINATORS

Members will:

·         Serve as the go-to contact for participating artists and designers

·         Help rally participation and ensure creatives have everything they need to succeed

·         Coordinate setup support and logistics so each display is beautifully executed

·         Organize preparatory materials and keep communication flowing throughout the process

·         Design and oversee the overall layout of displays, creating a visual journey for guests

·         Collaborate with the Brochure Committee to gather, polish, and present content that enhances the festival experience
